SYSTEM: ONLINE SECURE CONNECTION

Deploy A Combat-Ready
Recruiting Machine

Stop relying on luck. Recruiting is a supply chain operation. AcademyAdv provides the battle-tested SOPs, scripts, and workflows to source CDL drivers, minimize churn, and secure your fleet’s capacity. No fluff. Just execution.

/// OPS INTELLIGENCE NOTE

The “Speed-to-Lead” Imperative

Critical Failure Mode: 65% of qualified CDL drivers accept an offer with the first carrier that speaks to them.

If your recruiting desk is not contacting inbound leads within 15 minutes, you are burning marketing dollars. Automation is not optional; it is survival. Use the Auto-SMS Script provided in the vault.

The Funnel Architecture

Standard Operating Procedure for High-Volume Sourcing

FIG 1.0
01

Inbound / Triage

  • Auto-Response SMS
  • CRM Data Entry
  • KPI: < 10 Min Contact
02

The “Hard” Screen

  • Knockout Script
  • MVR/PSP Validation
  • KPI: 30% Pass Rate

Dispatch Align

  • Lane Verification
  • Pay Transparency
  • KPI: 100% Show Rate

WARNING: RECRUITER BIAS Recruiters often skip Stage 02 to “sell” the job. This is a fatal error. Never sell a job to an unqualified driver. It wastes Safety’s time and increases DQ (Disqualification) rates at orientation.

Retention Lifecycle (First 90 Days)

The “Churn Zone” Mitigation Strategy.

Day 01: The Handshake

ORIENTATION

Driver must meet their specific Dispatcher face-to-face (or video). Dispatcher must confirm: “I have your first load ready.” Removes anxiety.

Day 07: The Paycheck Audit

FINANCE

Payroll calls driver to explain the settlement statement. Verify all reimbursements. A $50 error here causes a quit.

Day 30: Mileage Review

OPERATIONS

Compare promised miles vs. actual miles. If variance > 10%, immediate intervention required.

Operational FAQ

Cost Analysis

My CPH is over $1,500. Is this normal?

For Dry Van, yes. For Flatbed/Tanker, it’s low. But CPH is a vanity metric. Focus on Cost Per Retained Driver (CPRD). Cheap leads often result in high turnover.

Process Control

Should we pay for orientation?

Yes. $150/day minimum. If you don’t pay, you signal that you don’t value their time. Non-paid orientation has a 40% higher “ghost” rate on Day 1.
