This document defines the standard operating procedures (SOPs) for sourcing, screening, and seating Class A CDL drivers. Subjectivity is the enemy of scale. Follow the protocols. Measure the results.

01 // Funnel Architecture

A recruiting funnel must be built like a water filtration system. Large volume at the top, multiple layers of mechanical filtration, and high purity at the bottom. Do not rely on “gut feeling.”

STAGE 1 Sourcing

High-Velocity Lead Aggregation

Use programmatic ad buying (Indeed, Facebook Leads). Do not filter heavily here. Speed is key. Send auto-SMS immediately: “Thanks for applying to AcademyAdv. Can you talk now? – Dispatch”

STAGE 2 Validation

The “Knockout” Protocol

Within the first 2 minutes, verify: 1) 2 Years CDL-A? 2) No DUIs last 5 years? 3) Auto/Manual restriction? If they fail, end call politely. Do not waste time pitching the job to an uninsurable driver.

STAGE 3 Closing

The Honest Close

State the pay clearly (CPM or Weekly Guarantee). Discuss home time honestly. If you lie here, they will quit in 3 weeks. Send a written offer letter via DocuSign immediately.

02 // The Scorecard

Evaluation Criteria Red Flags (Look For) Max Points
Job Stability More than 3 jobs in 2 years without explanation. 5.0
Attitude / Demeanor Complains about previous dispatcher/company excessively. 5.0
Equipment Respect Cannot describe basic pre-trip routine. Dirty appearance. 5.0
Passing Score Must achieve at least 12/15 to proceed. 12.0

03 // Orientation Ops

Orientation is cultural indoctrination. It sets the tone for the entire employment.

The Welcome & Intake

Owner or Safety Director must be present. Coffee and hot food provided. I-9 verification, tax forms, policy handbook signatures.

13:00

The Road Test (Practical)

30-minute predefined route. Includes backing maneuver, highway merge, and city turns. Automatic fail if curb is struck.

16:00

Asset Handover

Driver inspects assigned truck. Signs “Condition Report.” Ops installs ELD/Tablet. Driver meets Dispatcher.

04 // Failure Modes

The Bait & Switch

Driver arrives and finds truck is older than promised or pay is different.

FIX: Send photos of actual truck via text before orientation. Send sample settlement.

The Payroll Glitch

First paycheck is short. Driver assumes you are stealing.

FIX: Hand-audit the first 4 settlements. If there is an error, wire the money immediately.
